Because we process sensitive aviation and identification documents to conduct Federal Aviation Administration (FAA) practical tests and administrative services, we hold your data to the highest standard of security.

This Privacy Policy explains how we collect, use, and share your information when you interact with our website and book our services.

1. Information We Collect

To effectively process your certification and schedule your appointment, we collect the following types of information:

  • Personal & Contact Information: Name, email address, phone number, and billing address.

  • Aviation Credentials: FAA tracking numbers (FTN), certificates and certificate numbers, written exam results, pilot logbook entries, and medical certificates.  

  • Identity Verification: Government-issued photo identification (e.g., driver's license, passport) as required by the FAA.  

  • Payment Information: Credit card details collected securely for appointment vaulting and processing.  

  • Communication & Tracking Data: Information about your interaction with our automated scheduling and transactional emails, including IP addresses, times of access, and links clicked, gathered via web beacons (tracking pixels).  

2. How We Use Your Information

We use the data we collect strictly to operate our business and fulfill our regulatory duties, including:  

  • Verifying your eligibility for FAA practical tests or administrative actions.  

  • Processing your applications via the FAA's online or paper system.  

  • Scheduling, confirming, and managing your appointments.  

  • Processing required fees, cancellation charges, or refunds.  

  • Communicating with you regarding your appointment, required documents, or weather delays.  

3. Third-Party Services & Data Sharing

We do not sell or rent your personal information to marketers. We only share your data with trusted, secure third-party platforms necessary to conduct our services:  

  • Federal Aviation Administration (FAA): As a service provider conducting official evaluations, we are required to input, verify, and submit your personal and training data directly to the FAA via IACRA and other government systems to process your certification.  

  • Acuity Scheduling, Stripe, & Square: We use Acuity for booking management, and Stripe and Square for secure payment processing. Pitch Vy LLC does not directly view or store your full credit card number; it is vaulted and processed securely by Stripe or Square.  

  • Google Workspace: We utilize Google's encrypted business infrastructure (which includes Gmail, Drive, Contacts, and associated applications) for email communications, internal calendar management, and the secure cloud storage of uploaded applicant documents and Personally Identifiable Information (PII).  

  • Postmark & Twilio (Transactional Communications): We use Postmark to securely send critical scheduling emails and Twilio to send automated SMS text reminders. We use web beacons (also known as tracking pixels) and link tracking within our emails to verify that required checkride instructions and policy documents have been successfully delivered, opened, and reviewed by the applicant. This data is used strictly for internal operational compliance and scheduling verification.  

  • Zapier: We use Zapier as a secure automation tool to seamlessly route necessary scheduling and communication data between our trusted internal platforms.

4. Data Retention & Security

We implement reasonable, industry-standard security measures to protect your data from unauthorized access. We retain your personal data only for as long as necessary to fulfill the purposes outlined in this policy, or as mandated by FAA record-keeping requirements (e.g., FAA Order 8000.95), tax laws, and business operations.

5. Your Rights

You have the right to request access to, correction of, or deletion of your personal information held by us. However, please note that certain data deletion requests may be denied if we are legally required by the FAA to maintain records of your testing application or evaluation outcome.
