1. Services Provided
Pitch Vy LLC provides professional aviation services, including but not limited to, FAA Practical Tests (checkrides), Administrative Certificate Processing, and Pilot Proficiency Instruction. By booking a service, you acknowledge that all evaluations are conducted strictly in accordance with current FAA Airman Certification Standards (ACS) or Practical Test Standards (PTS).
2. Scheduling & Appointments
Most appointments are scheduled on a first-come, first-served basis via our online booking system. To securely hold an appointment slot, applicants must provide a valid credit card at the time of booking ($0 upfront). This holds the appointment slot and the vaulted card is strictly used to enforce our cancellation policy unless otherwise stated elsewhere in this policy.
3. Cancellation & No-Show Policy
Your time and our time are both valuable assets. To protect these, the following policy applies:
Standard Cancellations: Cancellations made more than 72 hours prior to the scheduled appointment will incur no charge.
Late Cancellations, No-Shows & Incomplete Onboarding: Avoidable cancellations made within 72 hours of the appointment, failure to appear (no-show), or an applicant's failure to complete required onboarding documents at least 72 hours prior to the scheduled appointment will result in cancellation. These events will incur the following fees processed to the card on file: $250 (Checkride), $100 (Instruction), or $25 (Administrative).
Weather & Maintenance: Verified un-flyable weather delays or unexpected mechanical grounding of the aircraft will incur no fee.
Fee Waivers: Cancellation charges may be waived only if provided in writing by Pitch Vy LLC.
4. Payment Terms & Fee Structure
While a valid credit card must be provided (vaulted) to secure your appointment, no charges are processed at the time of booking. Payment collection is separated based on the type of service provided:
FAA Testing Fees (Checkrides): Payment for practical tests is collected upon verification of applicant qualifications.
Administrative Certificate Actions: Fees for FAA administrative certificate processing actions are collected upon verification of applicant qualifications.
Pilot Proficiency Instruction: Fees for in-person flight or ground instruction are calculated and collected upon completion of the session.
Travel & Add-On Fees: Travel fees and scheduling add-ons are separate from testing fees. Travel fees cover logistical costs and must be paid prior to departure. These fees are non-refundable once travel commences or commercial arrangements are booked.
Administrative Discontinuance & Penalty Fees: In the event of a late cancellation, no-show, or failure to complete onboarding (as outlined in Section 3), the applicable penalty fee will be processed to the vaulted card immediately upon cancellation. Administrative fees for discontinuances (e.g., weather, mechanical) are separate and are collected at the time the practical test is restarted.
We accept cash and major credit cards. Credit card charges for in-person appointments require the card to be present for tap/swipe/dip. Credit card charges for remote appointments, travel fees, or applicable penalties will be charged to the card on file (vaulted).
Processing Fees: All credit card transactions are subject to a 4.0% processing fee.
FAA Compliance Notice: In accordance with FAA policy, all fees charged by Pitch Vy LLC are exclusively for the examiner’s time, service, and processing. Testing fees are strictly separate from other operational fees (including travel and add-ons) and are never contingent upon the outcome of an evaluation, a "pass/fail" result, or the issuance of a certificate.
5. Disclaimer of Liability
Aviation training and evaluation involve inherent risks. Pitch Vy LLC and its examiners are not responsible for any aircraft damage, personal injury, or third-party claims arising during the course of a flight evaluation. The Pilot in Command (PIC) retains ultimate responsibility for the safe operation of the aircraft at all times.
6. Governing Law
These terms are governed by the laws of the State of North Carolina.
